Slow office Wi-Fi is one of the most common complaints we hear from Bankstown and South-West Sydney small businesses — and almost always, the problem isn't the one you think it is. People assume they need a faster internet plan. Usually they don't.
Here are the five real causes of slow office Wi-Fi, ranked from most common to least, with how to diagnose each one yourself in under ten minutes — and when to just call someone.
Step zero: check whether it's actually the Wi-Fi
Before assuming the router is at fault, run this test:
- Plug a laptop directly into the router with an ethernet cable.
- Run a speed test at fast.com or speedtest.net.
- Then run the same test on the same laptop over Wi-Fi, standing right next to the router.
If the wired test is also slow, the problem is your internet connection, not the Wi-Fi. Call your provider. If the wired test is fast but Wi-Fi is slow, keep reading.
1. Consumer router doing a business job
This is by far the most common cause. The cheap router your ISP shipped is designed for a 3-bedroom home with 5–8 devices. Your office has 15–40 devices, multiple staff streaming video calls, cloud apps syncing in the background, and three different network printers fighting for bandwidth.
Symptoms: speeds drop sharply during business hours, video calls drop, Wi-Fi works fine in the morning then slows to a crawl after 10am.
The fix:a business-grade access point or mesh system ($300–$1,500 depending on coverage needed). Brands like Ubiquiti UniFi, TP-Link Omada, or for smaller offices, Eero Pro or ASUS ZenWiFi mesh systems. Skip ISP-supplied "business" routers — most are rebadged consumer gear at a premium.
2. Bad access point placement
Wi-Fi signal is wildly affected by where the access point sits. Common mistakes we see in Bankstown offices:
- Router hidden in a cupboard or behind the receptionist's monitor
- Router on the floor (signal goes up and out, not down through floors)
- Router near microwaves, cordless phones, or wireless headsets
- Router on the opposite end of the office from where most staff sit
- One router trying to cover an L-shaped or multi-level office (almost always needs a second access point)
The fix: place the access point centrally, elevated (top of a shelf), away from interference sources, with line of sight to where most devices are used. For larger or oddly-shaped offices, mesh systems with 2–4 nodes solve this elegantly.
3. Channel congestion and interference
This affects shared buildings particularly badly — and most Bankstown commercial buildings are shared. If five other businesses on your floor are all broadcasting on Wi-Fi channel 6, your router is fighting all of them for airtime, regardless of how good your router is.
Symptoms: speeds are wildly inconsistent. One minute great, next terrible, no obvious pattern. Worse at certain times of day when neighbours are busy.
The fix:a good business access point auto-detects congestion and switches channels. If you're on consumer gear, manually setting your 2.4GHz channel to 1, 6 or 11 (whichever is least used by neighbours) and ensuring you're also broadcasting 5GHz often helps. The 5GHz band has way more channels and far less congestion. Move all devices that support it to 5GHz.
4. Too many devices on one access point
Every Wi-Fi access point has a practical concurrent-device limit. Consumer routers struggle past 15–20 active devices. Business access points handle 50–100. The spec sheet often lies — "supports up to 256 devices" means they'll associate, not that they'll work well.
Add up everything that connects to your Wi-Fi: laptops, desktops, phones, tablets, printers, payment terminals, IP cameras, smart TVs, guest devices. Easy to hit 30+ in even a 5-person office.
The fix:business-grade access points and ideally separating different device types onto different networks (staff, guest, IoT/cameras). This is also better for security — a compromised guest device shouldn't be able to reach your file server.
5. Backhaul or cabling bottlenecks
If you've got multiple access points connected to each other over Wi-Fi (rather than ethernet cable), every hop halves your bandwidth. Similarly, if your access points are connected via old Cat5 cabling instead of Cat5e/Cat6, you're capped well below modern internet speeds even before Wi-Fi enters the picture.
Symptoms: Wi-Fi seems decent next to the main router but slows dramatically near a satellite access point or in distant rooms.
The fix:run proper ethernet to each access point (or use a system designed for wireless backhaul, properly). If you're running an office in an older Bankstown building, get the existing cabling tested — we've seen Cat3 phone-grade cabling being used for network purposes more times than we'd like to admit.
What you can probably fix yourself
- Move the router to a better location
- Switch as many devices as possible to 5GHz
- Update your router's firmware
- Reboot the router properly (unplug for 60 seconds, not just power cycle)
- Run the wired-vs-wireless test above to confirm where the bottleneck is
When to call someone
If after the above the problem persists, or if you've already upgraded the router and it's still slow, it's usually time for a proper diagnosis. One myth to put to bed
"We need fibre/we need a better internet plan" is the most common conclusion we hear, and it's wrong about 80% of the time. Most Bankstown offices already have plenty of internet bandwidth coming into the building. The bottleneck is between the wall socket and the device — that's the local network, not the ISP. Faster internet plans only help if you're actually maxing out the wired speed. Test before you spend.
